The Role             

The Payroll Manager is responsible for managing global payroll for all US, Canada, and Puerto Rico operations. This role is responsible for monitoring all tasks necessary to accomplish the organization’s payroll processing objectives, including relationships with external auditors and state and federal agencies. In this role you will be focused on planning, coordinating, and managing the functions of the payroll department. This position requires an extremely detail orientated person with significant knowledge of payroll administration, including state, federal, and Canadian provincial regulations.

Your Responsibilities:

  • Direct weekly and bi-weekly payroll processing for multi-state, union and non-union decentralized operations. From time clock set up, entry, approval to final payments, tax filing, remittance and various other special payments.
  • Ensure compliance with all applicable state and federal wage and hour and tax laws. Maintain compliance with Canadian provincial statutory regulations.
  • Ensure all internal and external audit procedures are adhered to.
  • Ensure all local, and state tax accounts are proactively established and appropriately maintained.
  • Prepare weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.).
  • Provide general ledger support, labor distribution reporting, and assist in producing labor reporting to operations.
  • Effectively lead the payroll team to respond to payroll related inquires, providing guidance on prevailing laws governing payroll and income taxes, employee benefits deductions, garnishments, and other statutory pay and related entitlements.
  • Responsible for the cross-functional collaboration between payroll, benefits, HRIS, operations and finance to ensure proper flow and maintenance of payroll related data from Workday to Microsoft D365 and other related systems.
  • Manage and guarantee accurate weekly and biweekly disbursement of multi-state and international payrolls.
  • Coordinate and ensure the preparation of all payroll related weekly, monthly, quarterly and annual tax returns. Audit W-4s, payroll balance sheets, YTD earnings, etc.
  • Define and document policies, procedures and controls related to payroll operations to streamline and automate. Continually review and implement continuous improvement efforts to achieve maximum efficiency and accuracy leading to best-practice operation.
  • Lead and develop payroll team to drive results and cultural alignment. Provide guidance to payroll team to effectively troubleshoot payroll related issues.
  • Manage Workday payroll system software upgrades and testing.

Essential Skills & Experience     

  • Bachelor's degree in Accounting or related business degree; or High School Diploma and minimum of 10 years’ of payroll experience.
  • Minimum of 7 years’ experience in payroll with multi-state, multi-location, high volume complex pay components for US, Puerto Rico, and Canada.
  • Minimum of 3 years’ experience in a leadership role with responsibility of directing and developing the work of others.
  • Prior experience in optimizing payroll or other related processes is required.
  • Solid understanding and working knowledge of federal/state payroll regulations and requirements as well as payroll best practices and HR policies.
  • Ability to lead work of others, work independently and as a team member to fulfill all job duties in a collaborative environment
  • Ability to foster a professional and inclusive team environment, with a passion for customer service and building relationships.
  • Confidentiality and demonstrated high integrity around handling sensitive HR, payroll, and company information.
  • Demonstrated ability to deliver results and make decisions while juggling multiple and changing priorities in a fast-paced environment. Excellent attention to detail, planning, organizational and project management skills.
  • Demonstrated ability to effectively communicate. Demonstrated ability to build processes, seek, evaluate, implement best practices, and operational efficiencies.
  • Microsoft Office Suite – Advanced Excel skills to including pivot table, v-look up, and some linking skills - Intermediate level Word, Access and Outlook. Skills should at least include the ability Mail Merge in Word, create and manipulate databases in Access and within Outlook knowing how to create address books and set up auto-responders, etc.
  • Ability and desire to easily learn and navigate new technology, understand payroll integrations, development tools or software.

  • Certified Payroll Professional (CPP) Certification
  • Proficient Workday experience
  • ADP Smartcompliance experience

Other considerations:

  • Ardent Mills is headquartered in Denver, CO. The strong preference is for this role to be based in Denver and to operate under a hybrid structure of part-time in-office and part-time remote. A full remote work arrangement for a non-local applicant may be considered for the right candidate. The successful candidate will be expected to commit to a periodic presence in the Denver HQ office, the frequency of which will be open to discussion with the hiring manager

We provide market-driven base pay, based on skills, abilities, and level of experiences. Our salary ranges are broad, and individual salary will be market competitive based on a candidate’s unique set of skills and level of experience. The starting range for this position is $95,807.27 - $127,782.95, with additional earning potential possible commensurate with experience. Additionally, we believe that our team members are the reason for our success and all team members are incentive eligible with a target based on contribution, company performance, and individual results achieved. While the specific bonus plan and target amount will be determined based on the role and breadth of contributions, the targeted bonus plan and targeted percentage amount for this role is Bonus - MIP, 10% Annual.
